Finding the Right Filing Cabinet and Some Tips in Filing

How is your filing cabinet in the office? Do you find work more complicated because of your filing cabinet? Does your office look unpleasant because of that filing cabinet in the corner?

In many offices, the filing cabinet plays a dual role: It serves as a storage space for documents and files, and it is placed to enhance the look of the office room. But first, what are the types of filing cabinets?

Vertical and lateral styles of cabinets are the two main types. They come in variations and different designs.

Vertical file cabinets are the traditionally-shaped. This type of cabinet is taller than and not as wide as the lateral type. They store files from font to back. They normally have two drawers. Lateral file cabinets store files from side to side, and they usually have drawers that are wider than they are tall. They can also have multiple drawers. The top of lateral style cabinets can be utilized for more storage space such as office decorations, phones, printers. Some lateral files also have slots for storing odd shaped documents or items like blueprints, display boards, large portfolios, etc. Lateral file cabinets can be wood or metal, but many popular styles are wood melamine laminate.

You just need to determine the storage capacity that you need. You may also wish to think about protecting your sensitive, most important files against theft as you order for an office cabinet. If you also value the decorative aspect of office furniture, that can also be a consideration. Filing cabinets meant as display cases, and/or flat document filing storage are available in the market.

Some Tips in Filing the Cabinet:

1. Allocate one file folder for grouped files according to their subject.

2. Choose an accessible naming scheme.

Apart from alphabetizing your files, you may want to put more concrete, descriptive words like, “Taxes”, or “A-Clients”, etc.

Whatever method you use, make sure it’s the easiest way for you and others to understand and retrieve the files. Make it also consistent.

3. Use a label maker.

Neatly label your files and folders to make them look more professional. You don’t wish to open up a messy cabinet-storage system.
